Room status codes

Room status codes are short labels, such as VC (vacant clean), OD (occupied dirty) and OOO (out of order), that tell the front office and housekeeping whether each room is occupied, clean, inspected or unavailable.

Also known as: housekeeping status · room status · HK status codes

Room status codes are the shorthand that housekeeping and the front office use for the state of each room. They combine occupancy (is someone staying?) with condition (is it clean, inspected, blocked?). The PMS usually holds the official status, and housekeeping updates it as rooms are cleaned and checked.

Common codes

Codes and their exact meanings vary by property and by PMS. Treat this table as a guide, not a standard.

Code Meaning In practice
VC Vacant clean Cleaned, no guest; may still need inspection
VI or VCI Vacant inspected Cleaned and checked by a supervisor; ready to sell
VD Vacant dirty Guest has left; room needs cleaning
OC Occupied clean Guest in-house; room already serviced today
OD Occupied dirty Guest in-house; room not yet serviced
DO or DEP Due out Guest expected to check out today
CO Checked out Guest has left; room is now vacant dirty
DND Do not disturb Guest asked not to be disturbed; service deferred
OOO Out of order Removed from sellable inventory for repairs
OOS Out of service Briefly unavailable for a minor issue; stays in inventory
SO Sleep out Room is let, but the bed was not used overnight
SKIP Skipper Guest appears to have left without settling the bill
DL Double locked Room is double locked

Some PMSs also use a “pickup” status for a room that only needs a light touch-up.

Example

The guest in 1104 checks out at 10:15, and the room moves from due out to VD. A room attendant cleans it and marks it VC. A supervisor inspects it and marks it VI, and the front desk can now give it to an early arrival.

How it relates to neighbouring terms

The OOO status links housekeeping to maintenance. Turndown service applies only to occupied rooms. The PMS usually holds the official status.

Where TaskLoop fits

TaskLoop does not replace the PMS as the record of room status. It runs the work behind the status changes, such as cleaning tasks, repairs on OOO rooms and guest requests, assigned to staff and tracked to completion. See housekeeping.

Questions people ask

Why does room status matter so much?

Because it controls what the front desk can sell. A vacant room that is not yet marked clean and inspected cannot be given to an arriving guest, and a room wrongly marked ready sends a guest into a dirty room. Fast, accurate status updates between housekeeping and the front office cut check-in waits and complaints.
