Shift handover

A shift handover is the structured transfer of responsibility from one shift to the next, covering open tasks, unresolved issues, risks and anything the incoming team must know to carry on safely.

Also known as: shift handoff · handover · shift change briefing

A shift handover is the moment one team passes responsibility to the next. In round-the-clock operations such as hotels, residential towers and serviced apartments, the outgoing shift tells the incoming one what is still open, what went wrong and what to watch. It is usually a short briefing backed by a written log.

Example

At 23:00 the evening duty engineer hands over to the night engineer:

  • Room 1407: AC fan noisy, guest moved, room out of order until tomorrow
  • Chiller 2 tripped at 19:30, reset and running; check it at 02:00
  • Permit to work still open for the roof pump repair; work resumes at 08:00
  • Two guest requests waiting for parts, both promised for the morning

The night engineer now knows exactly what they own.

What a good handover covers

  • Open tasks and who owns each one now
  • Overdue or escalated items
  • Safety issues and open permits
  • Rooms or units that are out of order
  • Promises made to guests or residents
  • Anything unusual: VIP arrivals, events, planned shutdowns

Why handovers fail

Most handover failures come from information that lives in someone’s head, a notebook or a chat group. The outgoing shift forgets one item, the chat thread scrolls away, and the incoming team learns about the problem from a complaint.

How it relates to neighbouring terms

Handover is part of task management for frontline workers: a task should not disappear because a shift ends. Escalation catches what a handover misses.

Where TaskLoop fits

TaskLoop keeps open work out of people’s heads. Every request is a task with an owner, a status and a deadline, and the dashboard shows all open requests and department workload in real time, so the incoming shift starts from the same list the outgoing shift was working on. See task management system.
